2009 Workshop Booking Policy
Sport Education Victoria (SEV) is the lead education agency for sport in the Victoria. It assists local, state and national organisations to better deliver education opportunities for sport. To assist in this it has network of very experienced state wide presenters that can facilitate a wide range of coaching, officiating and administration workshop topics in a very practical and engaging manner.
Costs and Maximum/Minimum Numbers
SSAs and partnered LGAs* -$ 550 for each 2.5 hour workshop in metro areas. The numbers are capped at 20 for a practical workshop and 35 for a non practical workshop. If numbers of participants exceed this amount then SEV can supply another presenter at $300 extra.
LGAs -$800 per workshop for workshops up to 3 hours. $ 265 per workshop for up to 1 hour. The numbers are capped at 20 for a practical workshop and 35 for a non practical workshop. If numbers of participants exceed this amount then SEV can supply another presenter at $400 extra.
There are no minimum numbers restrictions as this is up to the workshop organiser to determine.
*Partnered LGAs is the term used for a small number of LGAs that Sport Ed Victoria has a strong working relationship with. These organisations must have a strategic plan for club development in their area that includes strategies for club education.
Cancellation if Insufficient Numbers
SEV requires all organisations to pay a cancellation fee of $200 for workshops cancelled less than 24 hours before the scheduled time of the workshop
Roles and Responsibilities
Sport Education Victoria (SEV) will:
- Organise presenter for the workshop
- Supply workshop organiser with a SEV logo and a sample flyer for editing to advertise workshops if required
SEV to pay presenters upon receipt of Invoice from presenters
Workshop organisers will:
· Organise an accessible venue for the delivery of workshops.
· Pay a cancellation fee of $200 for workshops cancelled less than 24 hours before the scheduled time
· Keep SEV informed of any specific concerns or issues that maybe raised at the workshops so that SEV can pass this onto the relevant presenters.
· Take all registration for all workshops and inform SEV presenter/facilitator of final numbers 4-5 working days prior to the workshop. In case of low numbers, cancellation of workshop will be determined 1 week prior to the scheduled workshop and communicated to the presenter/facilitator, Sport Ed Vic and any registered participants.
· Advertise the workshop to all clubs within at least 6 weeks of the workshop date and then re-advertise within 2 weeks of the workshop.
· Work to ensure that the workshop has between 12-20 participants (for practical workshops) and between 12-35 participants (for non practical workshops) Additional presenter will be organised for registrations above these numbers and these presenter/s costs will be met by the workshop organiser.
· Meet the presenter at the venue at least 30 minutes before the session begins.
· Ensure that all AV requirements are taken care of and that tea/coffee making facilities as well as a light meal/snack are available for participants.
· Print out all handouts required for the session.
· Re-check the venue a day before the workshop is scheduled, and advise SEV of any problems.
· Send SEV a copy of the flyer or any promotional material.
